Cancellation & Refund Policy

Thank you for choosing PeerSphere.

To ensure the high standard of our conferences, workshops, and online programs, we invest in significant forward planning and financial commitments immediately upon your registration. We have designed the following policy to be fair to our participants while allowing us to sustain our vibrant learning communities.

1. Participant Cancellations & Financial Liability

Registration for a PeerSphere event (in-person or virtual) constitutes a binding financial agreement. By registering, you acknowledge that costs—including catering, venue hire, digital platform licensing, and resource procurement—are incurred on your behalf immediately upon sign-up.

Cancellations at any stage do NOT remove the obligation for payment. If you cancel your registration and have not yet settled your fee, you remain legally required to pay the portion of the fee dictated by the schedule below:

  • Within 24 hours of invoice issue date: 100% Refund of the registration fee.

  • 30 days or more before the event: 80% refund of the registration fee.

  • 15-29 days before the event: 40% refund of the registration fee.

  • Less than 15 days before the event: No refund will be issued.

Note

  • Grace Period: You may cancel for a full refund or waiver of fees if written notice is received within 24 hours of your invoice issue date.

  • No-Show Policy: Failure to attend the event (or failure to log in to a virtual session) without prior written notice does not result in a refund. For virtual events, it is the participant's responsibility to ensure a stable internet connection and compatible hardware.

2. Registration Transfers (Substitutions)

To avoid cancellation fees after the 24-hour grace period, you may transfer your registration to a colleague or substitute at no additional cost.

  • Deadline: Transfer requests must be submitted via email at least 5 working days before the event begins.

  • Process: Please provide the full name and contact details of the new participant to our events team. For virtual events, access credentials will be re-issued to the new participant.

3. Event Cancellation by PeerSphere

While we strive to host every scheduled session, PeerSphere reserves the right to cancel a program due to low enrollment, technical failure, or unforeseen circumstances.

  • Full Refunds: If an event is cancelled by PeerSphere, all registration and sponsorship fees paid will be refunded in full.

  • Exclusions: PeerSphere is not responsible for, and cannot refund, any personal expenses incurred, including but not limited to:

    • Travel, flight, and transportation costs.

    • Visa application fees.

    • Accommodation or lodging expenses.

    • Course material fees (once digital or physical access has been granted).

    • Personal technical costs (internet upgrades or hardware purchased for virtual attendance).

4. Contact Information

All cancellation or transfer requests must be submitted in writing. Refund eligibility is calculated based on the timestamp of your email.
